A job description is a critically important document used for hiring and managing employees. It communicates the responsibilities of the person doing the job, and the qualifications and skills that are needed to complete it. Having a template for all job descriptions within a company or organization will help keep them consistent and uniform in style and substance, as well as ensure a fair hiring process. Create a document that provides a snapshot of the company and the department, and then provides a space for the job duties and required qualifications related to each particular position.
Typically, organizations use their human resources or personnel department to create job description templates. In some cases however, a departmental group, a manager, or another individual (usually the direct supervisor of a position) might be responsible for creating one. In any case, make sure the creator of the template is familiar with the company’s or organization’s needs.
The term ‘job description’ is a flexible one, but here I’ll be using it in a modern context, to describe all of the copy you’d use on an online job board. It usually includes information like job title, duties, salary, etc.
When detailing qualifications on job descriptions, employers typically require certain knowledge, skills, aptitude, training, and previous experience. Employers should remember that these qualifications might be gained in a number of ways. For example, knowledge may be gained through education, training, or experience. In addition, other requirements, such as the possession of a driver’s license could be considered discriminatory. For example, it may be necessary to specify that an individual must be "available to attend evening meetings throughout the community" and "possess a driver’s license” but an employer should distinguish between need and convenience and consider any discriminatory effects. An employee with a disability may be able to attend a meeting via teleconference or access public transportation to attend the meeting on site.
